What Should a UPS Quotation Include? A Buyer’s Checklist for India

Most UPS quotations in India are a model number, a price and the words “freight as applicable”. That is not a quotation — it is an invitation to be surprised later. If you are raising a purchase requisition, comparing two vendors, or attaching a document to a tender, there are eight things the paperwork should tell you, and a quotation that leaves any of them out is hiding a cost.

The comparison trap: VA against VA

The most expensive mistake in UPS buying is comparing two quotations on their VA rating. A 1000VA line-interactive unit and a 1 kVA online unit look adjacent on paper and are not remotely the same purchase. The line-interactive unit supports roughly 600 W and switches to battery with a brief gap. The online unit supports around 900 W, runs the load permanently off the inverter with no gap at all, and costs considerably more for good reason.

Compare in watts, and compare topology explicitly. If one vendor has quoted line-interactive and another online, you are not holding two quotations for the same thing — you are holding two different proposals, and the cheaper one may simply be the wrong equipment. The line almost nobody quotes: the battery

Every UPS outlives its first battery. On a budget unit the replacement cartridge can be a meaningful fraction of what you paid for the whole thing, and on a unit whose battery is hard to source it can effectively write the UPS off. So the question to put to any vendor, before you sign anything, is simple:

“Which battery will this take in four years, and can I still buy it from you?”

If the quotation is for a tender or a purchase requisition

Procurement processes have their own requirements, and it is worth checking these before you circulate anything internally:

• The vendor’s GSTIN and full registered address on the document.
• Itemised lines rather than a single lump sum, so each item can be checked against a budget head.
• HSN codes where your finance team asks for them.
• Whether installation, commissioning or an AMC is included or quoted separately — these are usually separate lines, and assuming they are bundled is a common error.
• Delivery timeline to your specific location, not a national average.

How long should it take to get one?
